Cal South Partners with Traveling Teams

Cal South has selected Traveling Teams, Inc. as the “Official Housing Service” for its events. ALL teams are required to make their hotel reservations through Traveling Teams for their “Preliminary” 2008 game for the following events.

As the Official Housing Service of Cal South, Traveling Teams Inc. has secured room blocks at quality hotels conveniently located near all State Cup and National Cup venues. Making a hotel reservation for your team has never been easier!

We know this is different from the way you’ve booked rooms for the first round of State and National Cup before.  Usually, teams have had to wait for the draw and scramble to find rooms at good rates.  Using Traveling Teams will make this an easier process with more teams getting better rooms at good negotiated rates.  
 
To make this work, there are a couple of things that may seem unusual, but are necessary to the process.  
 
The reason you are being asked to provide preferences in multiple locations is that the tournament committee will not know where your team will play until after all applications have been received and the tournament draw completed. The committee has narrowed the choices by age group based on the most likely locations for that group, but not the specific locations.  That’s why you’re being asked to provide choices for multiple locations. Please note that if after the tournament draw your team decides the location is close enough to drive in daily for your games, you will not be obligated to move forward with your hotel bookings.  
 
The service that Traveling Teams provides is intended to greatly increase the likelihood that your team will get well priced lodging in the area in which you will play your preliminary rounds.  And that will happen without last minute scrambling.  We won’t say guarantee, but Traveling Teams has secured lodging in all tournament locations based on the projected number of teams.  
 
While it might seem like a lot of work today, completing the Traveling Teams reservation preference forms should save you time, money and worry later.    
 
Another reason for you to register your team now is that as soon as the tournament draws are announced, any teams that have not booked rooms are going to be on the phone or web trying to secure rooms.  If you have already done so through Traveling Teams, that’s one less item to check off for your first round of games.

Frequently Asked Questions (FAQ)

Does TTI work with Best Western and the MVP program? 

Yes, the MVP program is still in place.  TTI will work with Best Western to secure excellent rates and your league/club will still receive the 5% rebate for all Best Western rooms booked through TTI.  If a Best Western hotel is not available, TTI will provide you with other lodging options.

What are the benefits of working with TTI?

Why do I need to select a team leader?

TTI will work with that individual to coordinate hotel arrangements for the team.  Working with one designated individual eliminates confusion and duplication of effort.

As a team leader, do I need credit card information for every room reservation or will the bill for our entire room block go on my credit card?  

Each individual will guarantee his/her own room when they make their reservation online.   

Why Aren’t My Preferences (Bed Types, Adjoining Rooms, Rollaway Beds, etc.) Guaranteed?

All rooms we obtain for events and groups are non-smoking (unless a smoking room is specifically requested) and sleep four. The room bed types are either double-doubles, queen-queen or, have a king bed (or a queen bed) with a full-size pull-out sofa. We realize many individuals prefer double-doubles, but in order to accommodate the number of individuals needing rooms within a reasonable proximity to events we must typically take rooms which accommodate up to 4 persons consisting of the bedding types listed above.

Other preferences -- such as adjoining rooms, roll-a-ways and room locations -- are often limited by the number of similar requests across teams, the hotel structural floor plan, fire laws, etc. As a result, we will state your preferences to the hotel, in writing. The hotel will do their best to accommodate them, but cannot guarantee them.

Why Can’t I Call the Hotel Directly to Make/Check on My Reservation?

We contract with the hotels to hold the room blocks in each community that should accommodate the anticipated number of team rooms needed. The contract requires that the hotel refer any requests for rooms back to us so that we can ensure that everyone is included in our block and gets the group rate we have negotiated. This also greatly helps group leader since we can track all reservations for a team and ensure that everyone on the team can get their rooms.

Updates regarding reservations are sent to the hotels on a scheduled basis. As a result, the hotels will not immediately have all individual reservation information and changes. For this reason, individuals must contact Traveling Teams (not the hotel) regarding their reservations and changes.

Why Can’t I Open the Link I received from my Group Leader to Make My Reservation?

The most common reason is that you do not have an updated version of Adobe Acrobat. We provide a free link  for this in the cover e-mail. Simply click where indicated, and you will be prompted to make the Adobe updates. Once you have completed this, the link should work fine.

If this is not the case, you may have a firewall that is blocking access to the link. If so, when you open the document or click on the link, your system asks “Do You Trust the Link?”. Click yes, and you should be able to proceed. If you still are unable to open the link, please call the Traveling Teams individual reservations line at 1-800-821-4338 between 7:00 a.m.-2:00 p.m. PT Monday-Friday.

Why Haven’t I Received My E-Mail Confirmation that I Made My Reservation?

The main reason we find individuals do not receive e-mail confirmations is they have a spam filter or a firewall which blocks the e-mail. Therefore, we recommend first checking your junk or spam e-mail box to see if the e-mail was routed there.

If you still do not find it, there may have been a routing issue (you may have accidentally made a typo in the name of your e-mail address or there was a server issue). Please call the Traveling Teams individual reservations line at 1-800-821-4338 between 7:00 a.m.-2:00 p.m. PT Monday-Friday and we will be happy to send you another copy.
